Services

Three ways jobs leak. One way in.

Pick the one that sounds like your week. We start there.

Site supervisor in a hard hat and hi-vis vest taking a call on site

01 Missed calls

You're on the tools. The phone goes to voicemail. The caller rings the next firm.

An AI receptionist that answers day and night, says it's an AI, takes the job details, books into your diary and texts back the calls you missed. Urgent jobs are flagged to you straight away.

Every call answered. Every caller booked in, not sent to voicemail.

Owner working through a spread of paperwork at a desk late in the evening

02 Quotes stuck in the inbox

Enquiries pile up. Quotes get written at ten at night, or not at all.

An AI inbox that sorts and routes every request and drafts the quote from your own templates and prices. You check it and send it. It starts with a one-week Inbox Audit, credited against the build that follows it. Google Workspace (Gmail) today.

A quote drafted before you've opened the email. Nothing lost in the inbox.

Electrician wiring a set of outdoor electrical panels

03 Leads going cold

You sent the quote. Then silence. Chasing feels awkward, so it doesn't happen.

Instant replies, follow-up sequences in your words, calendar booking and reminders. You approve the templates and the rules.

Every lead followed up. Jobs booked without the chase.

One path behind every door: a free call, a fixed-fee diagnosis, a fixed-price build, monthly care.

Not sure which door?

See what you could automate.

Tell it what eats your week. It will say which of our systems fit and how the diagnosis would start.

How the chat opens

Xpectra assistant

AI, not a person

Hello. I'm the Xpectra Systems assistant, an AI, not a person. Tell me what eats your week and I'll point you at the right fix. What trade are you in?

It is an AI, not a person. Nothing is stored in your browser.

What it asks

  1. Your trade
  2. How many people work with you
  3. What eats your week
  4. How enquiries reach you
  5. Which email system you use

Then it says which system fits and what the diagnosis would look at.

How we work

Four steps. Each one agreed before it starts.

You see the plan and the fixed price in writing before anything is built.

  1. Diagnose

A free 20-minute call first. If it fits, a fixed-fee look at how work moves through your business: calls, inbox, quotes, follow-up. About a week. You get a written plan and a fixed price, and you keep it whether you build with us or not.

    Book a free call
  2. Design

We agree what the system does, what it must never do, and who approves what. You see it on paper before we build it.

  3. Build

Fixed price, fixed scope, on your accounts and your software. Dry runs first. Rollback points. Changes made outside office hours.

  4. Care

A monthly plan to keep it running, catch mistakes and adjust as the business changes. AI usage runs on your own key with a monthly statement.

The call is free. The diagnosis is a fixed-fee week. Builds are fixed price, in writing.

Case file

A German roofing and gutter company.

A customer email comes in. The system prepares the reply. A person approves it.

Example

Gmail · KI-Assistent side panel

A demo email in Gmail from Familie Mustermann asking for a gutter-cleaning quote. The side panel on the right shows a summary, an internal note with the price working and a drafted reply, which is already inserted in the reply box below the email.

Real panel, demo data.

How it works

Prepared by the system

  1. A customer email arrives

Lands in the shared Gmail inbox.

  2. Sorted automatically

By an n8n classifier using Claude.

  3. Staff open the email

A side panel appears next to it.

    Side panel

    • Customer history

      stored in Frankfurt

    • Request classified

      what the customer needs

    • Reply drafted

      by Claude, from their templates

    • Prices from code

a pricing engine, not the AI

Decided by a person

  1. Always a person

    A person approves

    Nothing goes out without it.

    • Reads the draft
    • Edits by voice if needed
    • Inserts it with one click
  2. A person sends it

    From the shared Gmail inbox.

Running around it

  • Voicemails

    transcribed

  • Missed calls

    tracked

  • Inbox sweeps

  • Daily audit

  • Error alerts

    on every workflow

Why Xpectra

Five things you can hold us to.

The rules behind every system we build, whichever door you came in by.

  • Diagnose first.

We find the real bottleneck before we build anything.

    1. Free call
    2. Audit week
    3. Written plan
  • Fixed prices.

You know the cost before we start, and it doesn't move.

    1. Scope agreed
    2. Price in writing
    3. Build
  • A human approves what commits you.

Every quote and every message that commits you is signed off by a person. The receptionist and follow-ups work inside rules you set and hand anything unusual to you.

    1. AI draft
    2. You check

  • Your accounts, your data.

Your email, your software and your API keys stay yours. Remove our access at any time.

Dry runs, rollback points, and changes outside office hours.

    4. Rollback point

We don't quote industry statistics we can't check. The diagnosis shows you your own numbers.

Questions

Straight answers.

Anything not covered here, ask on the free call.

Will the AI sound robotic?

No. It sounds natural and it says upfront that it's an AI. Anyone who asks for a person has their details passed to you to call back.

Do I need new software?

No. It works with the email, diary and job software you already use. For the AI inbox we work with Google Workspace (Gmail) today.

What does it cost?

The first call is free. The diagnosis is a fixed fee. Every build is a fixed price agreed before we start. Care is a monthly plan. AI usage runs on your own account with a monthly statement, so there are no hidden per-minute fees.

How long does it take?

The free call takes twenty minutes. The diagnosis takes about a week. Builds run from a few weeks to a few months, depending on scope. The timescale is in writing with the price.

What happens to my data?

It stays in your accounts. We work inside your email, your job software and your API keys, so you can remove our access at any time. We don't sell, share or train on your data.

What if it gets something wrong?

It will, occasionally. That's why a person approves every quote and every message that commits you, the receptionist and follow-ups run inside rules you set, every change runs as a dry run with a rollback point, and the AI never gives prices or safety advice it hasn't been given.
